How to get started

  1. Describe the schedule

    Enter your requirements. If something is unclear, answer the assistant's question or correct its interpretation.

  2. Review the generated options

    Check every date and rule. Edit the rules or use the chat to make changes, and remove unwanted options.

  3. Add details and create your page

    Continue to the event form, then check the summary under "Review your plan". Select Create poll or Create booking page. Share the participant link when your page is ready.

Turn available hours into appointment slots

Use the AI appointment scheduler to specify available hours, the length of each appointment and the break between them. You can also ask for a fixed number of appointments. Check the exact calendar date when you use phrases such as "next Tuesday".

Include a date range when you want several weeks of appointments. You can specify excluded dates or change a requirement in a follow-up message, such as "Leave out the first Tuesday." Review the updated options after each change.

Suggest whole weekends for a group

Ask for Saturday-to-Sunday weekends within a date range, with or without fixed times. Each complete weekend becomes one alternative for the group to vote on. You can also request a continuous period with arrival and departure times.

Check that the preview uses the intended type of option. Whole-day options keep their calendar dates across time zones. For timed appointments, check the time zone before continuing.

Keep personal details for the event form

This optional beta chat sends your chat message to an external AI provider. Use only dates, times and scheduling requirements. Add names and contact details later, outside the chat. The privacy policy explains how we use chat text.

Common questions

Does the AI check my calendar or book for me?

You provide the available dates and times. PickaWhen does not read your personal calendar. You decide when to create the page and share its link. Participants then vote or book through that link.

Can the assistant make mistakes?

Yes. It can misunderstand a date or requirement. The schedule generator checks whether the rules are valid, but you must check whether they match your request.

How far ahead can I plan?

The rule generator accepts a date range of up to 366 days and produces up to 500 options. Shorten the range if the preview exceeds that limit.
