Find a date with a free scheduling poll

A scheduling poll collects the dates that each person can attend. Use it for dinner with friends, a team meeting or a club activity. With PickaWhen, you propose options, share one link and choose the final date after people respond.

How to get started

  1. Create a group poll

Choose Find a date. Enter the event details and your email address, then select dates, day parts or meeting times.

  2. Review and create your poll

Check the options on the review screen. You can return to edit the details or options before you select Create poll.

  3. Collect responses and confirm

Share the participant link. People answer Yes, If needed or No. Open the organizer page and confirm the date you choose.

Example: choose a weekend together

Invitation you can adapt

Which weekend works for our trip? Open the poll link and mark every weekend you can join. Choose Yes, If needed or No. Please reply by Friday so we can confirm the dates.
Example responses
ParticipantWeekend AWeekend BWeekend C
AlexYesYesNo
SamIf neededYesNo
RobinNoYesIf needed

All three people can attend weekend B. The organizer can confirm that option. Weekend A would require Sam to make an adjustment, and Robin cannot attend.

These names and votes are fictional. This example has shared results enabled. In a real poll, the organizer can keep results private before people respond.

Try voting and compare the results

Choose options your group can answer

For a dinner, a few dates or evenings may be enough. For a work meeting, include exact start and end times. Date-only options keep the same calendar date for everyone; timed options appear in the selected time zone.

Offer a manageable set of realistic choices. If one person must attend, check their availability before sharing. You can also add their email under required attendees in the voting settings. They must mark the chosen option as available before you can confirm it.

Share your date poll on WhatsApp

After creating your poll, use Share on WhatsApp or copy the participant link into your group chat. You can also copy the invitation text and send it by email. Ask people to mark every option they can attend and give them a response deadline.

Keep the organizer link private. Anyone with the participant link can open the event details; the organizer link also gives access to responses and settings.

When no date works for everyone

Compare the responses before you confirm. The results consider required attendees, available votes and if-needed votes. You choose the final option.

If the choices do not work, allow participants to suggest alternatives or add a new voting round. Earlier responses remain available. Send the same participant link again so people can respond to the new options.

Common questions

Do participants need an account?

No account is required. In a real poll, participants enter their name and email when they submit a response. Optional email sign-in helps organizers find their own polls again.

Can I try voting before I create a poll?

Yes. The sample poll lets you try the responses without entering an email address. Its answers stay in the sample and are not sent to anyone.
